Privacy Policy

Last updated July 2026. Plain-language summary first: we collect what you give us and basic usage data, we use it to respond to you and improve the site, we honor Global Privacy Control, and we never sell your personal information.

Who we are

Meadow View Learning ("we," "us") is a California nonprofit educational organization located at 4750 Rocklin Rd, Suite 200, Rocklin, CA 95677. Contact: (916) 253-3341. Data controller: Shawn Maxim.

Information you give us

When you submit a form (interest, guide download, mailing list, contact, visit request, chat), we collect what you enter: typically your name, email address, phone number, ZIP code, and anything you write to us — including information about your children that you choose to share (such as names, grades, or learning needs). We use it to respond to you, provide the materials you requested, and manage enrollment. We do not knowingly collect information directly from children under 13; this website is intended for parents and guardians.

If you agree to receive text messages, we use your mobile number to send the appointment texts described in our Terms of Use, and we keep a record of your consent, your messages to us, and any opt-out. Text messaging opt-in and phone numbers are never sold or shared with third parties for their marketing. If we call you, calls may be recorded — you'll hear a notice at the start of the call — and recordings are kept as part of your inquiry record.

Enrollment documents and children's records

Once a family begins enrolling, our family portal asks for the paperwork enrollment requires: a signed enrollment agreement, immunization records, proof of age (a birth certificate or passport), emergency contacts, an optional photo release, and charter vendor paperwork if you use charter funds. Most of this is information about a child, and we handle it that way.

Where it goes. Files upload from your device into a private storage bucket — they are not published and cannot be opened from a plain link — and each file is attached to your family's record, and to the child it belongs to where that applies.

Who can see it. Guardians signed in to your family's portal can see your own family's documents and no one else's. On our side, Meadow View staff review uploads through an administrator-only queue; opening a document there creates a download link that stops working after fifteen minutes.

How long we keep it. Enrollment documents are kept for as long as your child is enrolled, and afterward only as long as nonprofit and student record-keeping require. You can ask us at any time what we currently hold for your family, and you can ask us to delete a document — including one uploaded by mistake — by calling (916) 253-3341 or writing to us through the contact form. We will remove it unless we are required to keep it.

These documents are not used for advertising, and they are never sold or disclosed to anyone outside Meadow View and the hosting and storage providers listed in this policy — except where the law requires it, or where you ask us to send them somewhere.

Information collected automatically

We use a first-party visitor identifier (a cookie named "mvl_vid") and log basic usage: pages viewed, referring source, campaign parameters, and a truncated, hashed version of your IP address (we do not store your full IP). Visit logs are retained for approximately 90 days. If your browser sends a Global Privacy Control (GPC) or Do Not Track signal, we do not set this cookie and do not log your visit.

Service providers we use

These providers process data on our behalf to run this website:

  • Vercel (website hosting and private storage for uploaded documents) and Turso (database)
  • Google Analytics & Google Tag Manager (usage analytics)
  • Meta (Facebook) — advertising measurement (pixel and server events; personal identifiers are hashed before transmission)
  • Resend (email delivery for confirmations and requested materials)
  • Anthropic (powers the "Talk to Meadow View" chat; conversations may be processed to generate responses — please don't share sensitive information in chat)
  • Cal.com (visit scheduling, when you book)
  • Slack (internal notification of your inquiry to our team)
  • Givebutter (donations, if you choose to give)

What we don't do

We do not sell your personal information, and we do not share it for cross-context behavioral advertising beyond the measurement described above. We honor opt-out preference signals (GPC) as required by California law.

Your California privacy rights

California residents may request access to, correction of, or deletion of their personal information, and may opt out of targeted-advertising data sharing. Make any request by phone at (916) 253-3341 or through the contact form, or see Your Privacy Choices. We will never discriminate against you for exercising your rights.

Data security & retention

Information is stored with access controls and encryption in transit. We keep inquiry records while relevant to serving your family and as required for nonprofit record-keeping, then delete or anonymize them.
